Position Overview

As Purchasing Manager at The Ben, you are entrusted with curating the behind-the-scenes excellence that defines our luxury guest experience. You will lead procurement operations with precision, ensuring that every item—from gourmet ingredients to bespoke amenities—meets our uncompromising standards of quality, freshness, and presentation. Your strategic mindset, refined negotiation skills, and commitment to excellence ensure that our hotel operates seamlessly, allowing our teams to deliver elevated service with grace and consistency.

Responsibilities

  • Source and evaluate vendors to ensure alignment with The Ben’s luxury standards for quality, reliability, and value.
  • Negotiate contracts and purchasing terms that reflect fiscal responsibility and brand excellence.
  • Oversee the purchase order system, ensuring accuracy, timeliness, and budget compliance.
  • Conduct detailed inventory audits and maintain optimal PAR levels for all departments.
  • Ensure all deliveries meet strict standards for freshness, cleanliness, and presentation.
  • Refuse and document unacceptable or damaged goods; manage returns and vendor communications with professionalism.
  • Maintain impeccably organized records of invoices, purchase orders, and inventory reports.
  • Collaborate with Culinary, Housekeeping, and Engineering teams to anticipate and fulfill operational needs.
  • Uphold food safety protocols including FIFO and Cold Chain compliance across all food-related areas.
  • Monitor and maintain secure storage areas, ensuring cleanliness and safety at all times.
  • Utilize technology to manage requisitions, inventory tracking, and vendor correspondence.
  • Support vendor relationships with diplomacy and discretion, ensuring long-term partnerships.
  • Maintain confidentiality of proprietary information and uphold the privacy of guests and associates.
  • Represent The Ben with a polished appearance and professional demeanor at all times.
  • Perform additional duties as requested by the Director of Finance, always with a spirit of excellence.

Qualifications

  • Proven experience in purchasing, procurement, or inventory management; luxury hospitality experience preferred.
  • Exceptional organizational and analytical skills with a keen eye for detail.
  • Strong negotiation and vendor management capabilities.
  • Proficiency in inventory systems and Microsoft Office Suite.
  • Ability to lift up to 50 lbs. and work in storeroom environments.
  • Flexible availability, including weekends and holidays.
  • Knowledge of food safety standards and luxury product handling.
