Office Admin

We are looking to hire an Office Administrator / Assistant to join our team.

This is a Hybrid – in office, local errands, some remote flexibility position.

Must have previous office experience. Knowledge of Quickbooks, Excel, Email, Insurance & Payroll.

Position Overview

We are seeking a highly organized, proactive, and trustworthy Office Assistant to support

the owner of a fast-growing business managing multiple ventures. This role blends business

operations support with limited personal assistance responsibilities to ensure the owner

and company operate at peak performance.

The right candidate thrives in a fast-paced environment, anticipates needs before they arise,

communicates professionally, and takes ownership of details that drive execution.

This is not just an admin role — this is a strategic support position designed to create

leverage for a growing company.

Key Responsibilities:

Executive & Meeting Support

  • Prepare agendas, presentations, and materials for internal and client meetings
  • Take meeting notes and track action items
  • Manage calendar scheduling and prioritize appointments
  • Coordinate logistics for meetings, events, and vendor visits

Client & Customer Communications

  • Draft and send professional email communications
  • Follow up with clients on proposals, contracts, and service items
  • Track customer requests and ensure timely resolution
  • Maintain Client Relationship Database (CRM) and contact databases

Marketing & Growth Support

  • Assist with marketing initiatives (email campaigns, social media posts, collateral updates)
  • Coordinate with vendors (designers, printers, digital marketing partners)
  • Help manage website updates and marketing calendar
  • Track inbound leads and follow-up activity

Business Operations Assistance

  • Organize documents and maintain digital filing systems
  • Assist with basic reporting and spreadsheet tracking
  • Support recruiting coordination (interviews, follow-ups, onboarding logistics)
  • Vendor communication and administrative follow-up

Personal Assistance & Errands (Limited but Important)

  • Run local errands as needed
  • Coordinate personal appointments and scheduling
  • Assist with occasional event planning or logistics
  • Help streamline personal administrative tasks to free up executive capacity

Ideal Candidate

  • Extremely organized and detail-oriented
  • Strong written and verbal communication skills
  • High discretion and professionalism
  • Tech-savvy (Google Workspace, Excel, CRM systems; quick learner with new tools)
  • Proactive — sees problems before they happen
  • Comfortable balancing multiple priorities
  • Calm under pressure
  • Service-oriented mindset

Qualifications

  • 2+ years of experience in administrative, executive assistant, or operations support role

preferred

  • Experience supporting an entrepreneur or small business owner is a plus
  • Reliable transportation for local errands
  • Located in or near Louisville, KY
