Duties
- Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette
- Operate multi-line phone systems to handle inquiries, transfer calls, and provide excellent customer support
- Maintain organized filing systems, including digital files using Google Workspace and Microsoft Office tools
- Perform data entry tasks accurately using computer literacy skills, including QuickBooks for basic bookkeeping and invoicing
- Coordinate calendar management and schedule appointments or meetings for staff members or executives
- Assist with office management tasks such as supply inventory, mail distribution, and maintaining cleanliness of common areas
- Proofread documents for accuracy and clarity before distribution or submission
- Support clerical functions like photocopying, scanning, and faxing documents efficiently
- Provide administrative support to various departments as needed, including personal assistant duties or medical/dental receptionist responsibilities
Experience
- Previous office experience in a clerical or administrative role is required; experience in customer service or reception is highly valued
- Familiarity with multi-line phone systems, calendar management, and data entry processes
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Experience with QuickBooks or bookkeeping software is a plus
- Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
- Excellent communication skills in both English and bilingual capabilities are preferred
- Demonstrated ability to manage time efficiently while handling multiple responsibilities simultaneously
