Responsibilities

- Answer multi-line phone systems promptly, directing calls accurately and courteously
- Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents
- Perform data entry tasks using Microsoft Office, Google Workspace, and QuickBooks to support administrative functions
- Manage calendar appointments, schedule meetings, and coordinate events efficiently
- Provide exceptional customer support by addressing inquiries via phone or email with clarity and patience
- Assist with bookkeeping tasks such as invoicing, expense tracking, and basic recordkeeping
- Support office management duties including supply inventory, mail distribution, and general administrative tasks
- Proofread correspondence and documents to ensure accuracy and professionalism
- Handle clerical duties such as photocopying, faxing, scanning, and maintaining organized records
Experience
- Prior experience in an office environment or administrative role is highly preferred
- Demonstrated proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
- Familiarity with QuickBooks or other bookkeeping software is a plus
- Strong organizational skills with the ability to multitask effectively in a fast-paced setting
- Excellent phone etiquette skills with experience managing multi-line phone systems
- Bilingual abilities are advantageous for serving diverse clients and team members
- Previous experience as a receptionist or personal assistant enhances your fit for this role
- Knowledge of medical or dental receptionist procedures is beneficial but not required
- Proven ability to handle confidential information with discretion and professionalism
