Overview
The Administrative office assistant reports to the pastor and Staff-Parish Team chair.
Hours: part-time, flexible
The administrative office assistant provides administrative, clerical, and communication support for the ministries and daily operations of the church.
Key Responsibilities:
Office Administration & Communications:
Answer and direct telephone calls, emails, and visitor inquiries.
Maintain church calendars and facility use reservations.
Prepare, distribute, and file correspondence and church records.
Order and maintain office and church equipment.
Manage church email, mail, and mail communications.
Prepare weekly bulletins, newsletters, announcements, and worship materials.
Update the church website and social media platforms as assigned.
Maintain church membership contact databases.
Coordinate mass mailings and congregational communications.
Financial and record keeping assistance:
Record contributions and maintain donor records as directed, sending appropriate acknowledgements.
Assist with preparing reports for the church leadership.
Maintain confidential personnel, membership and financial records to support annual reporting requirements.
Ministry support:
Assist pastors, ministry leaders, and committees with administrative needs.
Maintain church directories and committee lists.
Respond to requests from members and the community
Help foster a warm, professional, and Christ-centered office environment.
Additional reasonable requests as needed.
Qualifications
High school diploma or equivalent.
Additional administrative training is preferred.
Previous office or administrative experience is preferred.
Proficiency with Microsoft Office, email, and office equipment and learning other computer platforms as needed.
Strong organizational, communication, and interpersonal skills.
Ability to maintain confidentiality and handle sensitive information.
Ability to work independently and manage multiple tasks.
Detail oriented.
Respect for the mission and values of the church.
Ability to work effectively with volunteers, staff and congregation members.
Commitment to maintaining confidentiality and professionalism.
Pay: $14.00 - $15.00 per hour
