Job Summary

We are seeking a organized Office Administrative Assistant to join our team! In this vital role, you will be working with doctor/billing manager of our daily operations, ensuring that the office operations are running smoothly and efficiently. Your proactive approach and excellent communication skills will support various administrative functions, help manage staff and team interactions, and maintain a professional environment. Responsibilities

  • Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with professionalism and courtesy.
  • Maintain accurate records through data entry, filing, and updating spreadsheets using productivity software such as Microsoft Office and specialized accounting tools like excel, google docs.
  • Coordinate calendar management for team members, schedule appointments, meetings, and conference calls efficiently.
  • Handle correspondence via email, Word processing documents, proofreading materials for clarity and accuracy.
  • Support office management tasks such as ordering supplies, organizing files, and ensuring the office environment is tidy and well-equipped.
  • Assist with client communication by providing excellent customer service and support via phone or in person.
  • Perform clerical duties including emails, scanning documents, and maintaining organized records for easy retrieval.

Experience

  • Previous administrative or clerical experience in an office setting is required; experience supporting a busy front desk or personal assistant role is highly valued.
  • Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), spreadsheets, data entry tools, and familiarity with productivity software.
  • Experience using multi-line phone systems and managing phone etiquette to ensure clear communication.
  • Bilingual abilities are a plus to effectively serve diverse clients and team members.
  • Demonstrated organizational skills with the ability to multitask efficiently while maintaining attention to detail.
  • Knowledge of computer software is preferred for handling basic transactions.
  • Excellent time management skills with the ability to prioritize tasks in a fast-paced environment while maintaining professionalism.
