Responsibilities
- Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette.
- Operate multi-line phone systems to handle incoming calls efficiently, transferring or taking messages as needed.
- Maintain organized filing systems, both physical and digital, including data entry and document proofreading to ensure accuracy.
- Oversee calendar management for appointments, meetings, and events, coordinating schedules seamlessly.
- Support bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and basic financial recordkeeping.
- Assist with office management duties such as ordering supplies, maintaining office equipment, and ensuring a tidy workspace.
- Provide excellent customer service by supporting client inquiries via phone or email and offering timely assistance.
- Managing interactions with insurance companies to certify payment.
- Handle clerical tasks such as filing documents, data entry, proofreading communications, and managing mail distribution.
Qualifications
- Proven experience in office administration or clerical roles with strong organizational skills and a proactive, self-motivated demeanor.
- Familiarity with QuickBooks or other bookkeeping software is highly desirable.
- Excellent phone etiquette and customer service skills with the ability to manage multi-line phone systems effectively.
- Strong typing skills with high accuracy; attention to detail in proofreading documents.
- Experience in medical or dental receptionist roles is advantageous but not required.
- Demonstrated time management skills with the ability to prioritize tasks efficiently.
- Computer literacy across various platforms with the ability to adapt quickly to new software tools.
- Previous office management experience preferred; familiarity with calendar management and data entry is essential.
