Job Title: Real Estate Administrative Assistant

Overview

The Real Estate Administrative Assistant provides comprehensive administrative and operational support to real estate agents, brokers, and property managers. This role ensures smooth day-to-day operations, client satisfaction, and efficient handling of property transactions and marketing activities.

Key Responsibilities

1. Administrative Support

  • Manage phone calls, emails, calendars, and appointments for real estate agents or brokers.
  • Prepare, proofread, and process real estate documents such as contracts, leases, and closing statements.
  • Maintain organized electronic and paper filing systems for listings, clients, and transactions.
  • Coordinate meetings, open houses, inspections, and closings.

2. Transaction Coordination

  • Assist in preparing and submitting all required documents for listings and sales.
  • Track transaction timelines to ensure deadlines are met (e.g., escrow, inspections, financing).
  • Liaise between clients, agents, attorneys, lenders, and escrow companies.

3. Marketing Support

  • Create and manage property listings on MLS, company websites, and social media platforms.
  • Prepare marketing materials, brochures, flyers, and online advertisements.
  • Schedule and coordinate property photography, signage, and virtual tours.

4. Office Management

  • Maintain office supplies, manage budgets, and coordinate with vendors.
  • Oversee compliance with local real estate laws and company policies.
  • Support recruitment and onboarding of new agents when necessary.

5. Client Relations

  • Greet clients, respond to inquiries, and provide updates throughout the buying/selling process.
  • Maintain CRM systems to track leads, clients, and follow-ups.

Qualifications

  • Education: High school diploma or equivalent (Associate or Bachelor’s degree preferred).
  • Experience: 1–3 years of administrative experience, ideally in real estate or property management.

Skills:

  • Strong organizational and multitasking abilities.
  • Excellent communication and customer service skills.
  • Proficiency in Microsoft Office Suite, Google Workspace, and CRM software
  • Familiarity with MLS systems and real estate transaction platforms

Job Type: Full-time

Pay: From AED4,000.00 per month

Ability to commute/relocate:
