Job Title: Real Estate Administrative Assistant
Overview
The Real Estate Administrative Assistant provides comprehensive administrative and operational support to real estate agents, brokers, and property managers. This role ensures smooth day-to-day operations, client satisfaction, and efficient handling of property transactions and marketing activities.
Key Responsibilities
1. Administrative Support
- Manage phone calls, emails, calendars, and appointments for real estate agents or brokers.
- Prepare, proofread, and process real estate documents such as contracts, leases, and closing statements.
- Maintain organized electronic and paper filing systems for listings, clients, and transactions.
- Coordinate meetings, open houses, inspections, and closings.
2. Transaction Coordination
- Assist in preparing and submitting all required documents for listings and sales.
- Track transaction timelines to ensure deadlines are met (e.g., escrow, inspections, financing).
- Liaise between clients, agents, attorneys, lenders, and escrow companies.
3. Marketing Support
- Create and manage property listings on MLS, company websites, and social media platforms.
- Prepare marketing materials, brochures, flyers, and online advertisements.
- Schedule and coordinate property photography, signage, and virtual tours.
4. Office Management
- Maintain office supplies, manage budgets, and coordinate with vendors.
- Oversee compliance with local real estate laws and company policies.
- Support recruitment and onboarding of new agents when necessary.
5. Client Relations
- Greet clients, respond to inquiries, and provide updates throughout the buying/selling process.
- Maintain CRM systems to track leads, clients, and follow-ups.
Qualifications
- Education: High school diploma or equivalent (Associate or Bachelor’s degree preferred).
- Experience: 1–3 years of administrative experience, ideally in real estate or property management.
Skills:
- Strong organizational and multitasking abilities.
- Excellent communication and customer service skills.
- Proficiency in Microsoft Office Suite, Google Workspace, and CRM software
- Familiarity with MLS systems and real estate transaction platforms
