Secret Gardens is seeking a proactive Office & Sales Assistant to support showroom operations, client engagement, and pre-sales activities. This role combines office coordination, client management, and sales support in a fast-paced, dynamic environment.


Key Responsibilities:


1.
Client Lead & Pre-Sales Management


  • Respond to client inquiries via WhatsApp, Instagram, calls and emails.
  • Enter and manage leads in CRM; follow up and re-engage inactive prospects.
  • Coordinate with sales team for proper lead handover.
  • Stay updated on market trends and target communities.


2.
Client Relationship Management


  • Maintain consistent follow-up and address client concerns.
  • Ensure positive client experiences and greet regular clients by name.


3.
Office & Showroom Management


  • Maintain a clean and professional showroom and prepare meeting rooms with materials and refreshments.
  • Ensure equipment (TVs, Zoom devices, air purifiers) and decor are functional and presentable.
  • Monitor daily operations, including deliveries, kitchen, and washroom supplies.


4.
Calendar & Meeting Management


  • Manage company calendar and meeting room bookings.
  • Oversee Zoom meetings and ensure proper scheduling and equipment setup.
  • Coordinate with all teams to avoid conflicts and ensure smooth operations.


5.
Office Support & Events


  • Manage office supplies, stock pantry items, and maintain records.
  • Assist with company events, marketing activities, and internal functions.
  • Record minutes of meetings and maintain business card logs.


Requirements

  • 1 - 2 years’ experience in office administration, sales support, or client service.
  • Strong communication, organizational, and multitasking skills.
  • Proficient in CRM tools, Microsoft Office, and social media platforms.
  • Customer-focused, proactive, and team-oriented.
  • Experience in landscaping, interior design, or construction is a plus.
  • Must be confident greeting and talking with clients in person, over the phone and written communication.
