Job Summary
We are seeking a dynamic and organized Full-time Office Assistant to join our team! In this vital role, you will serve as the first point of contact for visitors and callers, manage administrative tasks, and support daily office operations with enthusiasm and efficiency. Responsibilities

  • This is a full-time position, Monday through Friday, 9 am - 5 pm (most federal and state holidays off).
  • Greet visitors warmly at the front desk, providing exceptional customer service and directing them appropriately
  • Manage multi-line phone systems, answer inquiries, transfer calls, and take detailed messages with professional phone etiquette
  • Perform data entry tasks using Microsoft Office and Google Workspace applications, ensuring accuracy and confidentiality
  • Maintain organized filing systems, both physical and digital, including document proofreading and record keeping
  • Assist with calendar management and scheduling appointments for staff or clients
  • Support office management tasks such as supply inventory, order processing, and basic bookkeeping using QuickBooks or similar software
  • Handle clerical duties, including photocopying, faxing, mailing, and preparing correspondence

Experience

  • Prior office experience or administrative support roles preferred; familiarity with office management practices is a plus
  • Strong computer literacy with proficiency in Microsoft Office, Word, Excel, and Google Workspace tools
  • Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
  • Bilingual abilities are highly desirable (but not necessary) to assist diverse client needs
  • Experience with multi-line phone systems, data entry, filing, proofreading, and customer service enhances your candidacy
  • Knowledge of nurse assistant duties and personal assistant experience are advantageous but not required
  • Demonstrated time management skills with the ability to handle multiple responsibilities efficiently
