Office assistant

Job Title: Office Assistant – Customer Service & Operations

Location: On-site
Department: Operations for an E-commerce Brand

Job Overview:
We are looking for a responsible and detail-oriented office assistant to manage customer service operations and daily administrative tasks for our growing e-commerce brand. The candidate will handle order confirmations, after-sales support, order management across multiple platforms, and maintain accurate financial records. This role requires strong communication skills, organizational ability, and basic accounting knowledge.

Key Responsibilities:

Customer Service & Order Management

  • Confirm orders with customers via phone, WhatsApp, or other communication channels
  • Manage and process orders from Shopify, WhatsApp, Instagram, and Daraz
  • Handle after-sales service, including complaints, exchanges, and refunds
  • Maintain positive customer relationships and ensure timely responses
  • Coordinate with logistics partners for order dispatch and tracking

Operations & Administration

  • Maintain proper records of daily orders and customer interactions
  • Ensure smooth coordination between customer service and dispatch teams
  • Monitor pending, returned, and cancelled orders

Finance & Accounts

  • Maintain daily sales records and cash flow tracking
  • Reconcile monthly sales reports from Shopify, Daraz, and other platforms
  • Record expenses and prepare basic monthly financial summaries
  • Coordinate with management for financial reporting

Requirements:

  • Minimum Intermediate / Bachelor’s degree preferred
  • Experience in customer service or e-commerce operations preferred
  • Basic knowledge of accounting and MS Excel
  • Familiarity with Shopify and Daraz seller center is a plus
  • Strong communication and organizational skills
  • Ability to multitask and work in a fast-paced environment

Working Hours: 9 AM - 6 PM
