Office Assistant

Duties

  • Greet visitors and manage front desk responsibilities with professionalism and warmth
  • Answer multi-line phone systems promptly, directing calls efficiently and courteously
  • Perform data entry, filing, and maintain organized records using Microsoft Office and other office management tools
  • Assist with calendar management and scheduling appointments for staff or clients
  • Support bookkeeping tasks using QuickBooks or similar accounting software
  • Handle clerical duties such as proofreading documents, managing correspondence, and organizing office supplies
  • Provide excellent customer service support by addressing inquiries and resolving issues promptly
  • Maintain a clean, organized workspace to promote a productive environment
  • Support personal assistant tasks as needed, including travel arrangements or document preparation

Requirements

  • Proven office experience or clerical background with strong organizational skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
  • Familiarity with multi-line phone systems and phone etiquette standards
  • Excellent typing speed and data entry accuracy
  • Strong organizational skills with keen attention to detail and proofreading abilities
  • Experience with bookkeeping, or medical/dental receptionist roles is a plus
  • Ability to manage time efficiently in a professional environment while prioritizing tasks effectively
  • Demonstrated customer service skills with a friendly demeanor and professional communication style
