Duties
- Greet visitors warmly and direct them appropriately, providing exceptional customer service at all times
- Manage multi-line phone systems, screen calls, take messages, and transfer calls efficiently using proper phone etiquette
- Maintain a clean and organized front desk area, including filing, data entry, and document proofreading to ensure accuracy
- Schedule appointments, manage calendars, and coordinate meetings using Microsoft Office and Google Workspace tools
- Handle incoming and outgoing mail, package deliveries, and maintain office supplies inventory
- Support basic bookkeeping tasks using QuickBooks or similar software for invoicing and expense tracking
- Assist with clerical duties such as copying, scanning, data entry, and maintaining electronic and physical filing systems
Skills
- Proven experience in office management or administrative roles with strong organizational skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Excellent computer literacy with the ability to quickly adapt to new software tools
- Strong typing skills with attention to detail for proofreading documents and data entry
- Exceptional customer service skills combined with professional phone etiquette
- Ability to handle multi-line phone systems efficiently while maintaining composure under pressure
- Bilingual abilities are highly valued to serve diverse client needs effectively
- Experience as a dental or medical receptionist is a plus; familiarity with calendar management in healthcare settings is advantageous
- Personal assistant experience or office experience that demonstrates multitasking capabilities
- Knowledge of bookkeeping procedures using QuickBooks or similar accounting software is preferred
- Demonstrated time management skills to prioritize tasks effectively in a busy environment
