Office Assistant/Receptionist

Job Summary
We are a warm and growing pediatric speech therapy practice dedicated to helping children and families. We are seeking a compassionate, organized, and professional Administrative Assistant to be the welcoming first point of contact for our families and to keep our practice running smoothly every day.

RESPONSIBILITIES

Phone & Client Communication

  • Answer and direct all incoming phone calls in a friendly, professional manner
  • Respond to patient and family inquiries via phone and email in a timely fashion
  • Triage urgent calls and route messages to the appropriate therapist or clinical staff
  • Make outbound reminder calls and follow-up calls as needed

Schedule & Appointment Management

  • Maintain and manage therapist calendars and appointment scheduling software
  • Schedule, confirm, reschedule, and cancel patient appointments as needed
  • Coordinate care plans and recurring therapy schedules across multiple providers
  • Monitor waitlists and proactively fill openings to maximize therapist availability
  • Prepare daily appointment summaries and notify clinical staff of changes

General Administrative Duties

  • Collect, verify, and maintain accurate patient intake forms and demographic information
  • Process insurance verifications, co-pays, and billing paperwork
  • Maintain organized electronic and paper filing systems in compliance with HIPAA
  • Order and manage office supplies and ensure the office is fully stocked
  • Assist clinical staff with administrative projects and practice initiatives as assigned

QUALIFICATIONS

Required

  • High school diploma or equivalent; associate's or bachelor's degree preferred
  • 1+ years of administrative or receptionist experience, ideally in a healthcare setting
  • Excellent verbal and written communication skills
  • Proficiency with scheduling software, EMR/EHR systems, and Microsoft Office or Google Suite
  • Strong organizational skills and the ability to manage multiple priorities simultaneously

Preferred

  • Experience working with pediatric patients or families in a clinical environment
  • Familiarity with medical billing and insurance verification processes
  • Bilingual candidates are strongly encouraged to apply

Pay: $20.00 - $25.00 per hour
