We are seeking a dynamic and organized Office Assistant/Receptionist to join our team! Duties
- Greet visitors and clients warmly, providing excellent customer service and ensuring they feel welcomed.
- Answer and direct all incoming calls using multi-line phone systems with professionalism and courtesy.
- Manage front desk operations including scheduling appointments, handling mail, and maintaining visitor logs.
- Perform data entry, filing, and document proofreading to ensure accuracy and organization.
- Support office management tasks such as calendar management, appointment setting, and basic bookkeeping using QuickBooks or similar software.
- Maintain office supplies inventory and coordinate with vendors as needed to ensure a well-stocked workspace.
- Assist with clerical duties including typing correspondence, managing emails via Google Workspace or Microsoft Office, and supporting administrative projects.
Qualifications
- Proven office experience or administrative background with strong organizational skills.
- Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools.
- Experience with data entry, filing systems, proofreading, and document management.
- Strong customer service skills with professional phone etiquette and the ability to handle multi-line phone systems efficiently.
- Bilingual abilities are a plus to serve diverse client needs effectively.
- Knowledge of QuickBooks or bookkeeping experience is desirable but not required.
- Ability to prioritize tasks effectively with excellent time management skills.
- Previous experience in medical or dental reception is advantageous but not mandatory; a personal assistant background is also beneficial.
