Office Assitant

Job Summary

Duties

  • Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette
  • Operate multi-line phone systems to handle inquiries, transfer calls, and provide excellent customer support
  • Maintain organized filing systems, both physical and digital, including data entry and document proofreading
  • Oversee calendar management and scheduling for meetings, appointments, and personal assistance needs
  • Utilize office management software such as QuickBooks, Microsoft Office, and Google Workspace for bookkeeping, invoicing, and administrative tasks
  • Support office supply inventory management and coordinate procurement as needed
  • Assist with clerical duties including typing correspondence, preparing reports, and ensuring accurate record keeping

Requirements

  • Proven experience in office management or administrative roles with strong organizational skills
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry tools
  • Experience with QuickBooks or similar bookkeeping software is highly desirable
  • Excellent phone etiquette and customer service skills; bilingual ability is a plus
  • Strong multitasking abilities with effective time management skills to prioritize tasks efficiently
  • Previous experience in clerical work or personal assistant roles preferred
  • Demonstrated attention to detail in proofreading documents and managing schedules
  • Ability to handle confidential information discreetly while maintaining professionalism
