Job Description

Position Overview:
The Administrative Staff will be responsible for providing day-to-day support in both office operations and project-related activities. This role involves assisting with documentation, client coordination, recruitment processes, and general administrative functions to ensure smooth and efficient workflow within the company.

Key ResponsibilitiesProject & Client Support

  • Provide daily updates of fieldwork and project task schedules.
  • Prepare client quotations and verify the cost of project materials.
  • Issue sales invoices upon project completion.
  • Prepare and issue warranty certificates, if applicable to the project scope.
  • Handle project documentation, including permits required for private villas.
  • Monitor project progress and coordinate for project turnover.
  • Send follow-up communications (email/WhatsApp) for project payments.
  • Coordinate with the marketing team to ensure client inquiries are properly entertained by assigned staff.
  • Process and issue budget requests for projects.
  • Source and evaluate alternative suppliers for competitive pricing and quality materials.
  • Handle customer inquiries regarding products and services.

Office & Administrative Management

  • Monitor and record daily staff attendance.
  • Organize and maintain office arrangements for smooth operations.
  • Manage renewal of office rental agreement with property management (Touifaik Properties) annually.
  • Draft and finalize employment offer letters.
  • Prepare company memos as required.
  • Handle documentation requirements for visa processing of new employees.
  • Post job vacancies across different platforms and coordinate the recruitment process.
  • Manage full recruitment cycle: job posting, candidate screening, scheduling interviews, and assisting in evaluations.

Qualifications

  • Bilingual Native Arabic Speaker
  • Proven experience in administrative or project support roles.
  • Strong organizational and multitasking skills.
  • Proficiency in MS Office (Word, Excel, Outlook) and basic accounting knowledge.
  • Excellent written and verbal communication skills.
  • Ability to coordinate with multiple departments and clients effectively.
  • Knowledge of UAE visa processing and basic HR practices is an advantage.

Job Type: Full-time

Pay: AED1.00 per month
