Office Coordinator

Job Title: Office Coordinator

Location: DeKalb County, Illinois Pay: $18–$21 per hour (based on experience) Schedule: 2–3 days in the office (9am–4pm) and 2–3 days working shifts with clients. This position requires working every other weekend.

We are a growing senior home care agency serving families across DeKalb, Lee, Ogle, and surrounding counties. Our mission is simple: help older adults live safely and comfortably in their own homes.

This is more than a front-desk job. You'll help keep our office running smoothly while also learning how a home care agency truly operates - both behind the scenes and in the field.

Over time, this role has grown into an important part of how our office functions. We are looking for someone who takes pride in responsibility and wants to grow with us. This position has grown significantly over the past few years, and we expect it to continue evolving. For the right person, this role can become more than just office coordination - it can grow into a key part of how our agency operates.

What You'll Do

This role blends day-to-day office coordination with hands-on operational support.

Caregiver SchedulingSupport

  • Help manage caregiver schedules and confirm upcoming shifts
  • Respond quickly to call-offs and help fill last-minute openings
  • Communicate clearly and confidently with caregivers
  • Work proactively to prevent gaps in care

ClientOffice Communication

  • Answer incoming calls promptly and professionally
  • Support families with questions and direct concerns appropriately
  • Keep communication organized so nothing is missed

OrganizationFollow-Through

  • Help solve day-to-day issues as they arise
  • Provide administrative support to leadership as needed
  • Take ownership of assigned tasks and see them through to completion
  • Make sure important details don't fall through the cracks

CommunityGrowth Support

  • Assist in planning and organizing community events
  • Help coordinate outreach efforts and local partnerships
  • Support projects that help our agency continue growing

Some days will be calm and structured. Other days will require quick thinking and problem-solving. A great day in this role means shifts are covered, calls are answered, and progress is being made - not just problems being solved.
