Office Manager is responsible for efficiently managing the daily operations of the CEO's office, ensuring that all tasks, projects, and communication run smoothly and effectively, providing support in a dynamic and fast-paced business environment. The role may require adapting to changing priorities, handling multiple projects simultaneously, and interacting with individuals at all organizational levels.
Responsibilities

Handle tasks and assignments provided by the CEO in a timely and accurate manner to support CEO’s decision-making process.

Plan and coordinate the CEO’s agenda and calendar of events with respective internal and external parties.

Organize and manage special events, meetings, and conferences hosted or attended by the CEO.

Attend all committee meetings, and provide secretarial responsibilities to ensure the effective administration of these meetings.

Manage end-to-end logistical coordination of the CEO’s meetings, appointments, travel arrangements, accommodations and other business activities.

Provide comprehensive administrative support to CEO, including office work, records, incoming and outgoing correspondence, and reports and documentations.

Prepare, review, and edit reports, presentations, and other documents, ensuring accuracy and clarity.

Develop and/or review high level and complex written correspondence, proposals, papers and presentations on behalf of the CEO.

Oversee the Strategic Planning CEO in tracking and monitoring the division's budget, including preparing expense reports, processing invoices, and maintaining financial records.

Act as main point of contact between ARDCO functions and CEO, supporting function leads with queries, documents, CEO availability, and other relevant requests and communication.

Record and maintain accurate minutes of board meetings and manage board documents and records.

Handle all incoming and outgoing communication on behalf of the CEO, ensuring prompt responses and maintaining confidentiality.

Assess and advise on which issues/topics should be addressed by a particular committee to ensure appropriate actions are taken.

Maintain confidential records, files, and databases while ensuring data security and integrity.

Follow up on and coordinate the implementation of Board decisions to ensure that decisions are successfully communicated to all involved members and the implementation status are reported periodically to the Board.

Maintain the CEO's workspace, including ordering supplies, managing files, and ensuring a clean and organized environment.
Education & Experience

Bachelor’s degree in Business Administration, Management or any other related field.

5–7 years of progressive experience in an Executive Assistant or Executive Secretary role supporting C-level executives.
