Office Manager Position Overview

EZ Landscape Services is seeking an experienced, dynamic, and highly organized Office Manager to oversee the administrative and operational functions within our office. This essential role involves managing daily office activities, providing customer service, building and maintaining vendor relationships, handling financial data, coordinating schedules, and facilitating effective communication across all divisions.

Key Responsibilities

Required experience includes computer proficiency, data entry, phone etiquette, and customer service. We value team players who respond effectively to evolving demands and responsibilities. Duties may include, but are not limited to, the following:

  • Oversee daily office operations and exceptional client service, including front desk administration, managing telephone communications, and coordinating calendar appointments for managers.
  • Maintain precise filing systems and execute clerical responsibilities such as data entry, document preparation, and record management.
  • Collaborate with all management personnel to provide comprehensive support and effectively alleviate their workload.
  • Monitor client progress from initial lead through project completion with thorough attention to detail.
  • Administer vendor relationships by negotiating contracts, processing invoices, and cultivating robust supplier partnerships to ensure timely service provision.
  • Manage bookkeeping functions utilizing QuickBooks or equivalent accounting software, including payroll processing, budgeting, and expense oversight.
  • Prepare, file, and organize all advertising materials—including proofs and display advertisements.
  • Promote the company’s brand with professionalism and nurture enduring client relationships.
  • Draft and meticulously proofread business correspondence, such as letters, memoranda, and mailing labels.
  • Oversee office upkeep and organization to maintain an efficient work environment.
  • Assist human resources by onboarding new employees, managing personnel documentation, and supporting HR compliance initiatives.
  • Facilitate training and development opportunities for team members to drive performance improvement and safety.

Skills

  • Experienced in office management, administration, and human resources including onboarding, training, and employee relations.
  • Highly organized, able to prioritize tasks and manage multiple projects in fast-paced environments with strong attention to detail.
  • Excellent communicator with effective interaction skills for staff, vendors, clients, and front desk operations.
  • Proficient in QuickBooks (bookkeeping, payroll, reporting, invoicing, expense tracking, bank reconciliations) and QuickBooks POS; skilled in Microsoft Word, Excel, and other Office applications.
  • Strong phone etiquette, customer service abilities, and capable of working independently, multitasking, and quickly learning new skills.
  • Committed to task completion with precision and sound work ethic.
  • Experience in the construction or landscaping industry
  • Experience working with Google Workspace, Quickbooks, Jobber, and/or Asana, or a task management software.
  • Bilingual (English/Spanish)

Job Type: Part-time

Pay: $25.00 - $30.00 per hour
