Job Overview
We are seeking a dynamic and organized Office Manager to oversee daily operations, coordinate administrative functions, and ensure a smooth-running office environment. This role offers an exciting opportunity to lead administrative efforts, manage vendor relationships, and support our team’s productivity in a fast-paced setting. The ideal candidate will bring energy, excellent communication skills, and a proactive approach to office management.

Duties

  • Manage day-to-day office operations, including front desk responsibilities and multi-line phone systems.
  • Oversee scheduling management for staff, meetings, and appointments to ensure optimal time utilization.
  • Coordinate vendor management activities, including procurement, service contracts, and relationship building.
  • Supervise administrative staff, providing training & development opportunities to enhance team performance.
  • Handle bookkeeping, payroll processing using QuickBooks, budgeting tasks, and basic human resources functions.
  • Organize company events and meetings through effective event planning to foster team engagement.
  • Maintain filing systems, manage calendar updates, and ensure efficient office workflow.

Requirements

  • Proven experience in office management or administrative roles with supervisory experience preferred.
  • Strong organizational skills with the ability to multitask efficiently in a busy environment.
  • Proficiency in QuickBooks for bookkeeping and payroll processing.
  • Excellent communication skills with professional phone etiquette.
  • Experience with vendor management, budgeting, and human resources functions.
  • Background in medical office management or similar healthcare settings is a plus.
  • Familiarity with office experience including clerical tasks such as filing and front desk operations.
