We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our busy office environment. Duties

  • Oversee daily office operations, ensuring an organized and efficient work environment
  • Manage scheduling for meetings, appointments, and office events to optimize team productivity
  • Supervise administrative staff and coordinate training & development initiatives to enhance team skills
  • Handle vendor relationships, negotiate contracts, and manage procurement processes using tools like QuickBooks
  • Maintain accurate bookkeeping, payroll processing, budgeting, and financial record-keeping
  • Oversee human resources functions including onboarding, employee records management, and compliance with policies
  • Coordinate event planning for company functions or community outreach activities
  • Manage front desk responsibilities including multi-line phone systems, phone etiquette, and greeting visitors
  • Organize filing systems and ensure all documentation is up-to-date and easily accessible
  • Support medical office management tasks if applicable, including appointment scheduling and patient record handling

Skills

  • Proven experience in office management or administrative leadership roles with supervising experience
  • Strong organizational skills with the ability to prioritize multiple tasks efficiently
  • Excellent communication skills to liaise effectively with staff, vendors, clients, and stakeholders
  • Proficiency in QuickBooks for financial management and bookkeeping tasks
  • Expertise in schedule management and calendar coordination to keep operations running smoothly
  • Vendor management skills to negotiate contracts and maintain supplier relationships
  • Knowledge of human resources functions such as onboarding, payroll processing, and employee development
  • Experience with event planning to coordinate meetings, seminars or company events
  • Familiarity with front desk operations including multi-line phone systems and phone etiquette
  • Ability to manage office supplies inventory and filing systems efficiently
  • Strong team management capabilities with a focus on training & development initiatives
