Job Summary
We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our growing med spa practice. This vital role involves overseeing administrative functions, managing relationships with clients, staff and Reps, assisting with event planning, supervising staff, and ensuring smooth office workflows.

The ideal candidate will possess exceptional communication and organizational skills, with a proactive attitude to foster a productive and welcoming workplace. As the backbone of our administrative team, you will play a key role in maintaining efficient office procedures, supporting team development, and ensuring compliance with company policies.

Additional Duties and Expectations:

  • Manage daily office operations, including front desk responsibilities and multi-line phone systems to ensure seamless communication.
  • Oversee scheduling management for staff schedule, meetings, appointments, and company events to optimize team productivity.
  • Lead the team with grace, kindness and clear guidance.
  • Supervise staff, providing training, guidance, and support to foster a collaborative team environment.
  • Assist with human resources functions such as onboarding new employees, maintaining personnel files, and supporting training & development initiatives.
  • Oversee office expenses, create filing systems, and general clerical tasks to uphold organized and efficient workflows.
  • Assist with planning and implementing company events or meetings that promote team engagement and morale.
  • Maintain compliance with office policies and procedures while overseeing calendar management for executives and staff.

Experience

  • Minimum 3 years of management experience
  • Proven experience in office management or administrative roles within a professional setting.
  • Supervising experience leading teams or administrative staff is highly preferred.
  • Experience tracking KPIs and using data to drive decisions.
  • Excellent communication skills with a focus on conflict resolution, phone etiquette and professional interaction.
  • Familiarity in a med spa setting is preferred but not required.
  • Prior experience managing multi-line phone systems, calendar management, organizational systems, and front desk operations is highly desirable.
  • Highly organized and operationally disciplined

Compensation & Growth

  • $50,000–$65,000 base (based on experience)
