Job Summary
We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our busy office environment. Duties
- Oversee daily office operations, ensuring all administrative tasks are completed efficiently and accurately
- Manage scheduling for meetings, appointments, and company events to optimize team productivity
- Supervise administrative staff, providing training, guidance, and performance feedback to foster a high-performing team
- Coordinate vendor relationships, including negotiating contracts and managing supplies procurement
- Handle human resources functions such as onboarding new employees, maintaining personnel records, and supporting employee relations
- Manage payroll processes using QuickBooks or similar accounting software to ensure timely and accurate employee compensation
- Oversee budgeting and bookkeeping activities to monitor expenses and maintain financial accuracy
- Maintain organized filing systems—both physical and digital—and ensure confidentiality of sensitive information
- Support front desk operations including answering multi-line phone systems, greeting visitors, and managing phone etiquette
- Organize company events and meetings through event planning expertise to promote team engagement and morale
- Assist with medical or specialized office management tasks if applicable, ensuring compliance with relevant procedures
Skills
- Proven experience in office management or administrative roles with supervisory responsibilities
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment
- Excellent communication skills—both verbal and written—to interact professionally with staff, vendors, and clients
- Proficiency in QuickBooks for payroll processing and financial management
- Experience with schedule management tools and calendar organization software
- Vendor management skills including contract negotiation and supply chain oversight
- Knowledge of human resources practices such as onboarding, training & development, and employee relations
- Familiarity with bookkeeping, budgeting, filing systems, and clerical tasks within an office setting
- Ability to handle front desk responsibilities including multi-line phone systems and phone etiquette
- Experience managing medical or specialized offices is a plus but not required
- Strong team management capabilities with a focus on training & development to foster a collaborative work environment
