Office Manager

Salary - $50k-$60k (based on experience, with bonus potential)

Roto-Rooter of Savannah is in search of a unique individual to join their operation as an Office Manager for their team of plumbing and water cleanup professionals.

Prior management experience with proven leadership qualities is a must!

Key Responsibilities:

Overseeing the daily administrative, financial, and human resources functions of the office while supporting service technicians and ensuring a high level of customer satisfaction. This role manages financial reporting, billing, payroll coordination, HR onboarding processes, and office operations while helping maintain efficient workflows and a strong service and sales culture within the company.

Ideal candidate will have superior organizational and customer service skills, process improvement orientation, and thorough knowledge of computer software including Word and Excel are a MUST.

Additional Responsibilities

Customer Service & Issue Resolution

  • Handle customer inquiries and resolve issues in a timely and professional manner.
  • Address customer concerns related to service or billing and make appropriate adjustments when necessary.
  • Work closely with the service team to ensure customer satisfaction and consistent service quality.

Financial & Administrative Management

  • Prepare and maintain accurate financial records and documentation.
  • Complete weekly financial reporting, including sales calculations and time record reviews.
  • Assist with gross payroll preparation based on technician time tracking.
  • Manage accounts receivable and accounts payable.
  • Process and record daily deposits.

Payroll & Human Resources

  • Assist in preparing payroll to ensure employees receive accurate and timely paychecks.
  • Manage employee onboarding processes through QuickBooks, including setting up new employees in the system and maintaining employee records.
  • Maintain accurate employee documentation and assist with HR administrative functions.
  • Support implementation and adherence to company policies and procedures.

Billing, Time Tracking & Invoicing

  • Maintain accurate technician time tracking and ensure all service hours are properly recorded.
  • Manage digital invoicing systems to ensure invoices are accurate, completed promptly, and properly documented.

Sales Support & Office Processes

  • Support and cultivate a sales-driven office culture through established office processes.
  • Conduct quality control reviews of phone calls to ensure customer service representatives are delivering excellent customer service and adhering to company standards.
  • Manage commercial accounts and assist with ongoing client relationships.
  • Follow up on estimates to improve close rates.

Office Operations

  • Maintain office supplies, equipment, and general administrative needs.
  • Manage office communications, including phone calls, emails, and correspondence.
  • Assist in developing, implementing, and maintaining company policies and procedures.

Collaboration & Team Support

  • Work closely with technicians and management to ensure smooth daily operations.
  • Help ensure service documentation, scheduling, and customer communication are completed accurately and efficiently.

Qualifications

  • Strong organizational and administrative skills
  • Experience with accounting, payroll coordination, or financial reporting
  • Familiarity with QuickBooks or similar accounting/payroll software
  • Customer service and conflict resolution experience
  • Ability to manage multiple priorities in a fast-paced service environment
  • Strong communication and problem-solving skills
