Job Overview
We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our bustling office environment. Duties

  • Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
  • Oversee administrative tasks such as data entry, filing, proofreading, and maintaining accurate records using Microsoft Office and Google Workspace tools
  • Coordinate calendar management and scheduling for executives and team members to optimize time utilization
  • Handle bookkeeping responsibilities utilizing QuickBooks or similar accounting software to support financial record-keeping
  • Provide exceptional customer support by addressing inquiries promptly and maintaining positive relationships with clients and vendors
  • Supervise clerical staff, delegate tasks efficiently, and ensure adherence to office policies and procedures
  • Maintain office supplies inventory, organize files systematically, and ensure the office environment remains tidy and functional

Qualifications

  • Proven experience in office management or administrative roles with strong organizational skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Familiarity with QuickBooks or other bookkeeping software is preferred
  • Excellent phone etiquette with experience managing multi-line phone systems
  • Strong typing skills along with high attention to detail for proofreading and data entry tasks
  • Previous experience in customer service or as a receptionist—dental or medical receptionist experience is a plus—demonstrating exceptional personal assistant skills and calendar management expertise
  • Demonstrated ability to handle clerical duties efficiently while maintaining professionalism under pressure
  • Knowledge of office procedures such as filing systems, time management techniques, and basic bookkeeping practices
