Office Manager

Job Summary
We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our busy office environment. This vital role involves overseeing administrative functions, managing office systems, and ensuring a smooth workflow across departments. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to support our team’s productivity and maintain a welcoming atmosphere for visitors and staff alike. Duties

  • Manage front desk operations, including greeting visitors, handling inquiries, and maintaining a professional reception area
  • Oversee multi-line phone systems, directing calls efficiently and providing exceptional customer service
  • Coordinate calendar management and scheduling for executives and team members
  • Maintain accurate records through data entry, filing, proofreading, and document management using Microsoft Office
  • Handle bookkeeping tasks using QuickBooks Online to support financial record-keeping
  • Provide administrative support including typing correspondence, organizing meetings, managing appointments, and ensuring timely follow-up on action items
  • Assist with clerical duties like photocopying, faxing, mailing, and maintaining organized filing systems
  • Deliver excellent customer support via phone etiquette and in-person interactions; serve as a liaison between clients, vendors, and staff

Experience

  • Proven experience in office management or administrative roles with a strong background in clerical tasks and customer service
  • Familiarity with office software including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and data entry tools
  • Experience working with multi-line phone systems and handling front desk responsibilities in a professional setting
  • Prior experience with bookkeeping or financial record-keeping using QuickBooks is required
  • Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
  • Excellent communication skills with proper phone etiquette and professionalism at all times
