Knox AC & Heating is seeking a reliable and detail-oriented Office Manager to oversee daily administrative and financial operations. This role is essential to maintaining accurate records, supporting internal processes, and ensuring the office runs smoothly.

The ideal candidate is organized, dependable, and confident handling accounting-related responsibilities in a fast-paced service-based environment.

Key Responsibilities

  • Oversee day-to-day office operations and administrative functions
  • Manage accounts payable and accounts receivable processes
  • Maintain accurate financial records using accounting software
  • Process payroll and assist with employee benefits administration
  • Monitor and manage sales tax reporting and compliance
  • Reconcile bank and credit card accounts
  • Coordinate with management to support financial reporting and decision-making
  • Assist with vendor communication and invoice tracking
  • Support internal systems and workflow organization

Qualifications

  • Strong understanding of accounting principles and procedures
  • Experience with payroll processing and general bookkeeping
  • Familiarity with sales tax reporting and compliance
  • Experience with accounting or service management software is helpful (such as QuickBooks Desktop, ServiceTitan, or similar platforms)
  • Prior experience in a service-based or trade-related business is preferred
  • Strong organizational skills and attention to detail
  • Ability to manage multiple responsibilities and meet deadlines
  • Professional communication skills

Work Environment

This is an in-office position working closely with ownership and staff to support daily operations and long-term organization of the business.
