Office Manager

Job Overview
We are seeking a highly organized Office Manager to lead the scheduling and Work Order flow through our facility. This role requires timley communication and cordination with customers and coworkers, assignment of received work orders, and receiving and shipping equipment brought into our facility . The ideal candidate will demonstrate organizational skills, proficiency in QuickBooks, a quality systems background, and familiarity with ISO 17025. As the liaison between our company and our customers, you will coordinate various functions such as scheduling, correspondence, record-keeping, and customer support to keep our office running efficiently.

Duties

  • Oversee daily office operations, including managing front desk activities and multi-line phone systems to ensure prompt and professional communication.
  • Maintain organized filing systems, perform data entry tasks, and handle document proofreading to support administrative accuracy.
  • Manage on-site scheduling, calendar coordination, and meeting arrangements using Microsoft Office Suite.
  • Provide exceptional customer service by greeting visitors, answering inquiries, and supporting client needs with professionalism.
  • Handle clerical tasks such as filing, photocopying, typing correspondence, and maintaining office supplies inventory.
  • Support bookkeeping activities using QuickBooks for purchase orders, estimates, and invoices.

Qualifications

  • Proven experience in office management or administrative roles with strong organizational skills and attention to detail.
  • Proficiency in Microsoft Office (Word, Excel, Outlook), and basic computer literacy.
  • Experience with QuickBooks.
  • Excellent phone etiquette with the ability to manage multi-line phone systems efficiently.
  • Strong English speaking and reading skills.
  • Strong clerical skills including data entry, proofreading, filing, and time management capabilities.
  • Prior experience in customer service or front desk roles such as dental, medical, or receptionist in an ISO certified facility is perferred.

Job Type: Full-time

Pay: $20.00 - $40.00 per hour
