Position Overview
We are seeking an experienced Office Manager to oversee daily administrative and operational functions at a growing law firm. The Office Manager will ensure efficient office operations, support attorneys and staff, manage administrative processes including billing and timekeeping, and maintain a professional client-focused environment. This role requires proven office management experience in a law firm setting and strong organizational, communication, and leadership skills.

Key Responsibilities

  • Manage day-to-day office operations, including facilities, supplies, vendor relationships, and office equipment maintenance.
  • Supervise and support administrative staff, including scheduling, onboarding, training, performance feedback, and workflow coordination.
  • Oversee legal billing and timekeeping processes, ensuring accuracy, timely submission, and compliance with firm policies and client requirements.
  • Collaborate with attorneys and staff to optimize administrative procedures, document management, and case file organization.
  • Coordinate calendar management for attorneys, manage client communications and intake processes, and maintain a professional client experience.
  • Implement and maintain office policies, procedures, and best practices to improve efficiency and consistency across the firm.
  • Support HR-related tasks such as recruiting administrative personnel, maintaining personnel records, and administering PTO and benefits coordination in partnership with external providers.
  • Assist with basic legal administrative tasks as needed, including drafting correspondence, preparing litigation documents for filing, and managing docketing and deadlines.
  • Monitor budgets, process invoices and expense reports, and assist with financial recordkeeping and basic bookkeeping tasks.
  • Maintain confidentiality and ensure compliance with legal ethics, client privacy, and firm security protocols.

Qualifications

  • 3+ years of office management experience, with experience in a law firm or legal services environment.
  • Demonstrated proficiency in legal billing and timekeeping systems and processes.
  • Strong knowledge of office administration practices, vendor management, and facilities oversight.
  • Proven supervisory experience with the ability to lead, train, and motivate administrative teams.
  • Familiarity with family law and litigation workflows is a PLUS
  • Proficiency with common office software (MS Office or Google Workspace) and experience with legal practice management tools preferred.
