Position Type: Full-Time or Part-Time, depending on the right fit

Compensation: $50,000–$60,000 annually, based on experience

JOIN OUR TEAM We are a well-established engineering firm seeking a highly organized and motivated Office Manager / Administrative Assistant with strong character, integrity, and a positive work ethic to oversee daily office operations and provide administrative support to our engineers, project managers, and leadership team. This role is critical to ensuring the efficient operation of our office and delivering exceptional service to our clients.

Office Management
- Manage the day-to-day operations of the office to ensure an efficient, organized, and professional work environment.
- Serve as the first point of contact for clients, visitors, and incoming communications.
- Coordinate with vendors, service providers, and building management.
- Order and maintain office supplies, equipment, and inventory.
- Develop and maintain office procedures and administrative systems.
- Assist with onboarding new employees and coordinating office policies and procedures.
- Support planning and execution of company meetings, training sessions, and events.

Administrative Support
- Answer and direct phone calls, emails, and correspondence professionally.
- Manage calendars, schedule meetings, and coordinate conference calls.
- Prepare, proofread, and format reports, proposals, presentations, and correspondence.
- Maintain electronic and paper filing systems.
- Coordinate travel arrangements and meeting logistics.
- Handle confidential information with discretion and professionalism.

Project Support
- Assist engineers and project managers with administrative aspects of project delivery.
- Help draft, write, and assemble proposals, qualifications packages (SOQs), and RFP/RFQ responses, coordinating input from engineers and project managers.
- Track deadlines and support document control efforts.
- Maintain project files and records.
- Assist with invoice preparation, expense reports, and other project-related administrative tasks.

QUALIFICATIONS
- Associate's degree or equivalent experience preferred.
- Three or more years of experience in office management, administrative support, or a related role.
- Experience in an engineering, architecture, construction, or professional services environment is strongly preferred.
- Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
- QuickBooks experience strongly preferred; proficiency in bookkeeping fundamentals (invoicing, accounts payable/receivable, and financial record-keeping) is required.
- Strong writing skills with the ability to draft and develop proposals, qualifications packages, and client correspondence.
- Strong organizational, time management, and multitasking skills.
- Excellent written and verbal communication abilities.
- Ability to work independently while supporting a collaborative team environment.
- High level of professionalism and discretion with confidential information.
- Experience with Microsoft Access, Adobe Acrobat, or similar database and document management software is a plus.
- Notary Public commission (or willingness to obtain one) is a plus.
