Position Overview

We are seeking a versatile and detail-oriented professional to fill the dual role of Office Manager and Legal Assistant. This full-time position requires a proactive individual who can ensure the smooth daily operation of the office while providing essential support to our attorneys and clients. The ideal candidate will be the "glue" that holds our dynamic team together, managing administrative tasks and assisting with case management in a fast-paced environment.

Key Responsibilities

Office Management Duties

  • Oversee Daily Operations: Ensure the office runs efficiently, including managing administrative tasks, and maintaining a professional atmosphere.
  • Facilities & Supplies Management: Coordinate with vendors and suppliers, manage office equipment maintenance, and monitor and order office supplies.
  • Financial Administration: Assist with basic accounting functions, including processing client billing and accounts payable
  • Records Management: Implement and maintain organized physical and electronic filing systems, ensuring strict confidentiality and compliance with data protection regulations.
  • Internal Communications & HR Support: Serve as a central point of contact for internal communications and assist with basic human resources tasks for our team.

Legal Assistant Duties

  • Client Communication: Act as the primary point of contact for clients and visitors, handling phone calls, emails, and in-person inquiries with professionalism.
  • Document Preparation: Draft, proofread, and format legal documents, correspondence, pleadings, and contracts with a high degree of accuracy.
  • Case Management Support: Create and maintain case files in a rapidly changing environment.
  • Scheduling & Calendaring: Manage attorney calendars, schedule client appointments, meetings, and coordinate court appearances.
  • Court Filings: File legal documents with the appropriate court systems.

Qualifications & Skills

  • Experience: Proven experience in an office administration role; prior experience in a law office or legal setting is a significant plus.
  • Education: High school diploma; an associate or bachelor's degree in a relevant field is preferred.
  • Technical Proficiency: Strong proficiency with Microsoft Office Suite (Word, Excel, Outlook) and the ability to quickly learn and use legal practice management software.
  • Organizational Skills: Exceptional organizational skills and attention to detail, with the ability to manage multiple tasks and deadlines simultaneously in a dynamic and adaptable environment.
  • Communication: Excellent written and verbal communication skills, strong interpersonal skills, and a professional demeanor.
  • Integrity: Utmost discretion in handling confidential and sensitive client and firm information is essential.
  • Problem-Solving: A resourceful and reliable problem-solver who can work both independently and as part of a team.
