Office Manager / Bookkeeper

Key Responsibilities

Office Administration & Scheduling

  • Schedule jobs and coordinate timelines
  • Track staff time cards and hours
  • Maintain organized filing systems (digital and physical)
  • Prepare and maintain business license requirements
  • Keep insurance policies up to date and complete reporting as required
  • Hiring New Staff

Bookkeeping & Finance

  • Invoicing clients
  • Accounts Receivable (AR) and Accounts Payable (AP)
  • Reconcile credit card and bank statements
  • Payroll processing
  • Cash flow tracking
  • Job costing
  • Sales tax reporting and preparation
  • 401K preparation support and payroll tax tasks
  • Prepare monthly books for accountant review and year-end tax preparation

Qualifications

  • Minimum 5 years of experience in office administration and bookkeeping
  • QuickBooks experience required
  • Strong communication skills and ability to work in a team environment
  • Highly organized with strong attention to detail
  • Construction industry experience is considered an asset
  • Spanish is an asset (not required)

Work Schedule

5 days a week in office
