Office Manager / Executive Assistant

Position Overview

We are seeking a highly organized, proactive, and detail-oriented Office Manager/Executive Assistant to support daily operations and provide high level administrative support. This role is essential to ensuring the office runs efficiently while also assisting with client coordination, marketing efforts, and supporting the President.

Duties:

Office Management

  • Serve as the first point of contact: managing calls, mail, and client facing interactions
  • Oversee office organization, cleanliness, and overall presentation
  • Coordinate calendars, meetings, and client and subcontractor appointments
  • Manage inventory and ordering of office and kitchen supplies
  • Coordinate office maintenance and vendor services
  • Support internal team operations, including meeting coordination and logistics
  • Maintain organized filing systems and documentation

Executive Support

  • Manage and prioritize executive communications, including email oversight and responses
  • Prepare and distribute contracts via E-Signature
  • Book travel and lodging for design teams
  • Assist with both professional and personal tasks as needed
  • Maintain detailed client notes, task lists, and provide regular status updates

Marketing

  • Coordinate marketing initiatives, including print and digital advertising
  • Manage email campaigns and outreach through Mailchimp
  • Oversee website design and seo
  • Support hiring efforts, including job postings and interview coordination
  • Maintain and update project imagery and office displays
  • Coordinate client gifting and seasonal communications

Compensation: To be discussed

Pay: From $53,000.00 per year
