Office Manager / Sales Assistant

We are seeking a dynamic and organized Office Administrator / Sales Assistant to join our team! Responsibilities

  • Manage front desk duties, greeting visitors and directing them appropriately with professional phone etiquette
  • Weekly payroll
  • Buildertrend/ construction management software a plus
  • Operate multi-line phone systems efficiently, handling inquiries and routing calls accurately
  • Support sales activities by assisting with client communication, order processing, and data entry using tools like QuickBooks and Google Workspace
  • Maintain organized filing systems, including electronic documents and physical records, ensuring easy retrieval
  • Perform bookkeeping tasks such as invoicing, expense tracking, and reconciling accounts with attention to detail
  • Schedule appointments, manage calendars, and coordinate meetings for staff using Microsoft Office tools
  • Provide general administrative support including proofreading documents, managing correspondence, and supporting customer service efforts
  • Experience
  • Proven office management or administrative experience in a professional setting
  • Familiarity with clerical tasks such as filing, data entry, and document proofreading
  • Strong computer skills with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and basic bookkeeping software like QuickBooks
  • Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment
  • Experience handling multi-line phone systems and demonstrating professional phone etiquette
  • Bilingual abilities are a plus to support diverse client needs
  • Personal assistant or customer support experience is advantageous for providing exceptional service and calendar management
