Office Secretary

Overview
We are seeking a proactive and organized Office Secretary to join our dynamic team! This vital role ensures the smooth operation of daily office functions, providing exceptional administrative support and customer service. The ideal candidate will thrive in a fast-paced environment, demonstrating excellent organizational skills, strong communication abilities, and a positive attitude. As an Office Secretary, you will be the first point of contact for visitors and clients, managing multiple responsibilities with efficiency and professionalism.

Duties

  • Greet visitors and clients at the front desk with a friendly and professional demeanor, ensuring a welcoming environment
  • Manage multi-line phone systems, directing calls accurately and courteously while maintaining excellent phone etiquette
  • Handle data entry, filing, and document proofreading to ensure accuracy and organization across all records
  • Utilize Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools to prepare reports, correspondence, and schedules
  • Maintain calendar management for appointments, meetings, and events to optimize office productivity
  • Support bookkeeping tasks using QuickBooks or similar accounting software to assist with invoicing and expense tracking
  • Perform general clerical duties such as photocopying, faxing, mailing, and inventory management of office supplies
  • Provide customer support by addressing inquiries promptly and professionally, ensuring high levels of satisfaction
  • Assist with office management tasks including organizing files, managing office equipment, and coordinating maintenance requests

Skills

  • Proven experience in office administration or clerical roles with strong organizational skills
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
  • Familiarity with QuickBooks or other bookkeeping software for basic financial tasks
  • Excellent phone etiquette with experience managing multi-line phone systems
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Strong typing skills combined with attention to detail for proofreading and data entry tasks
  • Knowledge of medical or dental receptionist procedures is a plus but not required
  • Exceptional time management skills to prioritize tasks efficiently in a busy environment
  • Personal assistant or medical receptionist experience is advantageous for supporting various administrative functions
