<Duties>

  • Greet visitors and clients with professionalism and warmth at the front desk, creating a positive first impression.
  • Manage multi-line phone systems, directing calls accurately and courteously to appropriate departments or personnel.
  • Handle incoming and outgoing correspondence, including emails, mail, and packages, ensuring timely distribution.
  • Maintain organized filing systems—both physical and digital—using tools like Google Workspace and Microsoft Office to ensure quick retrieval of documents.
  • Perform data entry, bookkeeping, and basic accounting tasks using QuickBooks or similar software to support office financial processes.
  • Schedule appointments, manage calendars, and coordinate meetings for staff and executives with precision.
  • Support office management activities such as supply inventory, proofreading documents for accuracy, and assisting with special projects as needed.

<Skills>

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for document creation and communication.
  • Strong organizational skills with keen attention to detail in filing, proofreading, and data entry tasks.
  • Excellent phone etiquette with experience managing multi-line phone systems; bilingual abilities are a plus for diverse client interactions.
  • Demonstrated office management experience including calendar management and administrative support roles such as personal assistant or medical/dental receptionist.
  • Knowledge of clerical procedures such as photocopying, faxing, scanning, and record keeping.
  • Ability to handle customer service inquiries professionally while providing outstanding support via phone or in person.
  • Basic bookkeeping skills using QuickBooks or similar accounting software; familiarity with office computer literacy is essential.
