Position Summary
Office staff provides administrative, clerical, and operational support to ensure effective and efficient functioning of TAGC’s daily operations. This role supports the Executive Director's functions, scheduling, communication, data entry, financial tracking (Quickbooks), and general office organization.
Essential Duties & Responsibilities
- Manage daily office operations, supplies, filing, and recordkeeping
- Answer phones, respond to emails, and support communication for all programs
- Assist with scheduling, calendars, and coordination of staff training
- Maintain personnel files per ADMH standards (confidential, locked, organized)
- Assist with onboarding documentation and background check coordination
- Support bookkeeping tasks such as timesheet collection, receipt tracking, and invoice preparation
- Prepare meeting agendas, minutes, and reports as needed
- Assist with event coordination such as Time With Friends, EPIC, and fundraising efforts
- Maintain confidentiality according to HIPAA and TAGC policies
- Maintain a friendly, professional environment as the first point of contact for families and partners
- Support Executive Director with administrative and program tasks as assigned
Qualifications
- High school diploma/GED required; associate or bachelor’s degree preferred
- Strong organizational and time-management skills
- Knowledge of office software (Word, Excel, email, printers, etc.)
- Excellent communication skills, both verbal and written
- Ability to multitask in a busy environment
- Experience in QuickBooks
- Must pass background check, drug screen, and TB test
Physical Requirements
- Ability to lift up to 20 lbs (supplies, files, event items)
- Ability to sit or stand for extended periods
Pay: $18.00 - $20.00 per hour
Expected hours: 20.0 per week
Work Location: In person
