Job Summary
As an Operation Assistant, you will play a pivotal role in ensuring the smooth functioning of our daily operations. Your vibrant energy and proactive approach will support various administrative tasks, project coordination, and office management. You will be the backbone of our team, assisting in event planning and providing executive administrative support to ensure that everything runs like a well-oiled machine!

What you’ll do

  • Coordinate and assist with event planning to create memorable experiences for our team and clients.
  • Manage calendars, schedule appointments, and organize meetings using Microsoft Outlook Calendar and Google Workspace.
  • Provide exceptional executive administrative support by handling correspondence, preparing documents, and managing filing systems.
  • Perform data entry and clerical duties with precision to ensure all information is up-to-date and accessible.
  • Answer multi-line phone systems with professionalism, demonstrating excellent phone etiquette while addressing inquiries.
  • Proofread and transcribe documents to maintain high standards of accuracy in all communications.

Experience

Basic qualifications

  • Proven experience in administrative roles or as a personal assistant, demonstrating strong office experience.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace for efficient task management.
  • Strong typing skills with a focus on accuracy for data entry and transcription tasks.

Preferred qualifications

  • Familiarity with QuickBooks for effective bookkeeping practices.
  • Experience in project coordination or event planning to enhance team initiatives.
  • Excellent organizational skills that enable you to juggle multiple tasks seamlessly while maintaining focus.
