Job Summary
We are seeking a highly organized and proactive Operations Coordinator to manage and oversee home care operations, caregiver coordination, client communication, sales outreach, and administrative processes. The role requires strong multitasking abilities, communication skills, and hands-on coordination with caregivers, patients, vendors, and internal teams to ensure seamless service delivery.
Key Responsibilities Caregiver Coordination & Scheduling
- Supervise, schedule, and assign caregivers to clients based on skill set, availability, and client requirements.
- Create, maintain, and optimize caregiver schedules to ensure adequate coverage at all times.
- Conduct regular performance evaluations of caregivers and provide feedback.
- Handle last-minute schedule changes, absences, and emergency staffing needs efficiently.
- Coordinate transportation and logistics for caregivers and clients when required.
Client & Family Communication
- Act as the primary point of contact for clients and their families.
- Address client and family concerns promptly and professionally.
- Ensure timely communication between patients, caregivers, and healthcare professionals.
- Service delivery and operational efficiency
- Coordinate RC (Rehabilitation Care) and IPD (In-Patient Department) data collection related to home care cases.
Operations & Administration
- Handle billing, invoicing, and insurance-related administrative tasks for home care patients.
- Manage procurement of medical and non-medical supplies, coordinate with vendors, and maintain asset tracking.
- Ensure cleanliness, safety, and proper functioning of home care equipment and infrastructure.
- Implement and maintain quality assurance protocols for home care services.
- Handle emergency situations and implement contingency and escalation plans.
Cross-Functional Coordination
- Foster collaboration across departments to ensure integrated, continuous, and high-quality patient care at home.
- Coordinate with internal teams to ensure smooth operational workflows.
Required Skills & Qualifications
- Strong organizational and multitasking abilities
- Excellent communication and interpersonal skills
- Ability to manage high-volume calling and follow-ups
- Basic knowledge of home care operations, healthcare coordination, or patient services (preferred)
- Proficiency in documentation, reporting, and MS Office tools
- Ability to handle pressure, emergencies, and time-sensitive situations.
