Role Overview
The Operations Coordinator will be responsible for ensuring smooth day-to-day operations at Small Steps. This role requires strong organizational, communication, and problem-solving skills to manage schedules, coordinate with staff and parents, and support the center’s compliance with KHDA, CDA, and DHA requirements. The ideal candidate will be proactive, detail-oriented, and able to manage multiple responsibilities in a fast-paced environment.

Key Responsibilities

  • Coordinate and oversee daily operations across therapy, training, and administrative functions.
  • Manage staff schedules, room allocations, and parent communications.
  • Ensure compliance with KHDA, CDA, DHA, and other regulatory guidelines.
  • Maintain records, reports, and data management systems (including HR platforms like Breathe HR).
  • Act as a point of contact for parents, addressing queries and ensuring smooth communication.
  • Support event planning, workshops, and training programs (internal and external).
  • Assist HR in onboarding new staff, maintaining attendance, and coordinating performance reviews.
  • Monitor inventory and coordinate procurement of supplies and resources.
  • Support safeguarding procedures by ensuring protocols are followed in all operational areas.
  • Liaise with external vendors, schools, and partners to facilitate operations and collaborations.

Qualifications & Skills

  • Bachelor’s degree in Business Administration or a related field.
  • 3+ years of experience in operations, preferably in education, therapy, or healthcare settings.
  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Knowledge of UAE education regulatory frameworks (CDA, KHDA) preferred.
  • Proficiency in MS Office and operations software.
  • Ability to work collaboratively and maintain professionalism under pressure.
