Jones HR Consulting is actively searching for a Operations Coordinator for our client MYCO Medical.
MYCO Medical Supplies, Inc is seeking a highly organized, proactive, and detail-oriented individual to support the CEO and Management Team in day-to-day operations, strategic initiatives, and administrative tasks. The ability to interact with staff (at all levels) in a fast-paced environment, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial for this role. The ideal candidate will also have experience with Salesforce.com administration or certification to support CRM-related tasks and reporting.
Key Responsibilities:
Executive Support:
- Prepare reports, presentations, and correspondence on behalf of the CEO.
- Handle confidential information with discretion and professionalism.
- Coordinate and assist with internal and external communications for the CEO.
- Serve as project manager for key initiatives for the management team.
- Assist in tracking strategic initiatives and follow-ups.
- Manage meeting logistics.
- Manage corporate records and documents including company contracts electronic and hard copy filing system. File Documents & Correspondence.
- Create internal newsletters and organize team building
Marketing & Sales Support:
- Collaborate with Sales and Marketing teams to align external efforts with internal goals.
- Know Website support and systems
Salesforce Administration:
- Maintain and update Salesforce records, dashboards, and reports.
- Support Sales and Marketing teams with CRM data integrity and usage.
- Manage Salesforce compliance
- Assist in onboarding and training staff on Salesforce best practices.
- Collaborate with external consultants or internal IT teams on Salesforce enhancements.
- Salesforce Administrator certification preferred.
- Assist Quality team in connecting Salesforce and Electronic Quality Management System (EQMS).
General Responsibilities:
- Facilitate proper office equipment usage to ensure full capabilities are leveraged.
- Develop task lists and assist with prioritizing to keep focus aligned.
- Order and maintain office and break room supplies.
Requirements:
- 5 + years of significant executive support experience, including supporting C-level executives
- Proven experience as an Executive Assistant, preferably supporting C-level executives.
- Experience in project management is a strong plus.
- Expert proficiency with Salesforce.com administration, Salesforce Administrator certification highly desirable.
- Strong verbal and written communication and interpersonal skills.
- Exceptional organizational skills and impeccable attention to detail.
- High degree of professionalism in dealing with diverse groups of people, including Board members, senior executives, staff, customers and suppliers.
- Ability to complete a high volume of tasks and projects with little or no guidance.
- Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.
- Able to maintain a high level of integrity and discretion in handling confidential information.
- Excellent judgment is essential.
- Proficiency in Microsoft Office Suite, Teams, One-Drive and project management tools.
- Familiarity with CRM and marketing automation platforms.
- Experience working with external agencies or vendors
