Job Title: Operations Development Specialist

Reports To: Operations Development and Training Manager

Location: Los Angeles, CA

FLSA Status: Non-Exempt/Hourly

Position Status: Regular, Full-Time

Work Schedule: Monday-Friday 8:00 am to 5:00 PM; with occasional overtime and/or weekends depending on business needs

Pay Range: $26.45 per hour - $28.85 per hour

Travel: 50% or more (mostly within California, occasional out-of-state travel)

Job Summary

The Operations Development Specialist at Westport Properties serves as a public face, representing our company to team members, partners, investors, and vendors. This role demands professionalism, diplomacy, and tact in every interaction. Proficiency in various computer systems, including Microsoft Excel and basic Microsoft SQL Server Management Studio, is essential.

In addition to supporting field operations and training, the Specialist will be responsible for conducting operational audits across the portfolio. This includes traveling to sites to assess compliance with company policies, operational standards, and data integrity. The Specialist will document findings, provide actionable recommendations, and collaborate with field leadership to implement improvements.

This position holds influence across multiple aspects of our business but does not entail formal authority. Effective Specialists collaborate with field leadership, addressing concerns while maintaining positive relationships with all team members. They are innovators, critical thinkers, and creative problem-solvers who remain open to feedback and adaptable as they gain experience. Additionally, Specialists provide mentorship and on-site training to field staff, contributing to the growth and success of our team.

Duties & Responsibilities

  • Regular attendance, as per the Company’s Attendance Policy, is essential for this role.
  • Analyze internal reports comprehensively, interpreting various data sets.
  • Independently extract insights and actionable points from raw data.
  • Utilize Microsoft SSMS and Excel to develop reporting mechanisms that shed light on different facets of field operations.
  • Maintain and distribute highly detailed, accurate reports for the portfolio.
  • Conduct Due Diligence trips and generate reports for new properties autonomously.
  • Provide timely insights to the Acquisitions and Operations teams regarding the physical and operational status of properties.
  • Offer recommendations and action plans to the Acquisitions and Operations teams based on findings.
  • Execute administrative and operational tasks in preparation for the integration of new properties.
  • Lead the on-site transition team during the initial stages of managing a new property.
  • Assess the accuracy of newly converted SiteLink databases, rectifying any errors promptly.
  • Set up software and office infrastructure for standard operations.
  • Conduct scheduled and ad hoc operational audits at field locations to evaluate compliance, performance, and data accuracy.
  • Collaborate with field leadership to ensure audit outcomes are understood and improvements are sustained.
  • Provide support on various systems, processes, and procedures as requested by team members.
  • Offer recommendations to supervisors for future projects and initiatives.
  • Collaborate with other departments on development projects as necessary.
  • Perform other duties as assigned.
  • Handle periodic special projects and duties as required by Company needs.
  • Adapt to multitasking, frequently shifting between tasks, amidst interruptions or distractions within tight deadlines

Qualifications

  • Advanced proficiency in Microsoft SQL Server Management Studio is a plus, not a requirement
  • Advanced skills in Microsoft Office Suite, particularly Excel
  • Familiarity with Sitelink, CallPotential, or other CRM/FMS applications is highly desired
  • Meticulous attention to detail and strong organizational abilities
  • Thorough understanding and effective communication of Company Policies and industry standards
  • Capable of handling performance improvement matters confidentially and promptly
  • Skilled in analyzing and interpreting data for reporting purposes
  • Excellent communication skills, demonstrating diplomacy, sound judgment, and tact when interacting with team members
  • Ability to navigate effectively with various stakeholders, including co-workers, supervisors, insurance brokers, attorneys, and vendors
  • Flexibility in working hours to meet project deadlines

Education / Experience

  • High-school diploma or GED required.
  • Some College preferred
  • Relevant years of work experience may substitute for the degree requirement
  • Relevant experience in matters related to sales, customer service, marketing, training, and operations development
