Operations Director

Position Summary:
The Operations Director is responsible for the effective and efficient day-to-day management of administrative functions, safety, staffing, volunteer coordination, and strategic initiatives within the organization. This role ensures smooth operations across club programming, fosters strong relationships with youth, families, and community members, manages partnerships, and oversees the use of operational platforms such as MyClubHub (MCH).

Key Responsibilities:
Administrative & Operational Leadership: Oversee daily administrative operations ensuring compliance with policies and procedures. Develop and implement efficient systems and process to support organizational effectiveness. Be an active participant in the Operations Cabinet meetings and activities.

Safety: Monitor and manage all safety incidents, follow reporting and follow-up protocol.

Relationship Building
Cultivate and maintain strong, positive relationships with youth, parents, and community stakeholders.
Represent the organization at community events and meetings to strengthen outreach and visibility.
Establish cross functional relationships with different departments such as IT, Safety, Facilities, Transportation, etc.

Volunteer & Staff Management
In partnership with HR; recruit, train, and onboard staff and volunteers to uphold organizational values and mission.
Manage Club Administrative Assistants.
Implement professional development plans and evaluate staff performance regularly.
Manage volunteer engagement, training, and retention strategies.

Technology Platform Management
Oversee implementation and utilization of My Club Hub (MCH), Canva and other key tools used for club operations and member management.
Train staff and volunteers on MCH usage and troubleshoot issues to maintain data integrity.

Program Evaluation & Improvement
Design and manage systems to evaluate program effectiveness and impact.
Use data and feedback to inform continuous improvement efforts and reporting.
Participates in Continuous Quality Improvement (CQI) process.

Facilities Management
Oversee the maintenance, safety, and functionality of all club facilities.
Coordinate repairs, upgrades, and ensure compliance with safety and BGCSM standards.

Strategic Partnership Management
Identify, build, and maintain strategic partnerships with external organizations and service providers.
Collaborate with partners to enhance programs, share resources, and support youth development.

Qualifications
Bachelor’s degree in Nonprofit Management, Education, Business, or a related field;
5+ years in an operations, program, or nonprofit leadership role.
Experience working with youth and diverse communities.
CPR/First Aid and safety training certifications (or willingness to obtain).
Background check and clearances required.

Operational & Administrative Acumen: Exceptional organizational and time management skills. Strong understanding of safety compliance, recordkeeping, and process optimization.
Technology Proficiency: Comfortable managing digital platforms (experience with MCH or similar systems preferred). Ability to train and support others in using operational software tools.
Program Evaluation & Strategic Thinking: Analytical skills to assess program performance and implement improvements. Capacity to manage multiple initiatives aligned with strategic goals.
Facilities Oversight: Experience overseeing physical spaces and ensuring facility safety and compliance.
