Operations Executive

Job Purpose

The Freight Operations Executive is responsible for managing the end-to-end coordination of import and export shipments across air, sea, and land freight The role ensures accurate documentation, regulatory compliance, timely shipment execution, and effective communication with customers and stakeholders, thereby supporting operational efficiency, service excellence, and cost control within the supply chain function

Job Responsibilities

Shipment Coordination & Execution

  • Manage end-to-end coordination of import and export shipments (air, sea, and land freight)

  • Book shipments with airlines, shipping lines, NVOCCs, and transport providers

  • Prepare and verify shipping documentation, including:

    • HBL / MBL

    • AWB

    • Commercial Invoice

    • Packing List

    • Certificate of Origin, etc

  • Coordinate cargo pick-ups, deliveries, and load planning activities

Documentation & Compliance

  • Ensure all documentation complies with customs regulations, port authority requirements, and international trade laws

  • Submit online documentation via relevant platforms (eg Dubai Trade, E-Mirsal 2, where applicable)

  • Maintain accurate records for audit and compliance purposes

  • Verify HS codes, applicable duties and taxes, and ensure correct customs declarations

Customer Service & Communication

  • Act as the primary operational point of contact for customers

  • Provide regular shipment updates, including ETD/ETA notifications, exceptions, and delays

  • Manage service-related queries, resolve operational issues, and coordinate effectively with internal teams

Coordination with Internal & External Stakeholders

  • Shipping lines and airlines

  • Transport providers and warehouse teams

  • Customs brokers

  • Agents at origin and destination

Cargo Tracking & Monitoring

  • Track shipments through carrier platforms and internal systems

  • Monitor cargo status to prevent demurrage, detention, storage charges, and other avoidable costs

  • Promptly escalate operational risks or exceptions to the relevant stakeholders

Operational Efficiency & Reporting

  • Maintain shipment logs and prepare weekly and monthly operational reports

  • Support continuous improvement initiatives related to SOPs, workflows, and service quality

  • Ensure adherence to company policies, KPIs, and SLAs

Problem Solving & Issue Resolution

  • Manage daily operational challenges, including cargo delays, documentation discrepancies, customs issues, or carrier changes

  • Proactively identify solutions to minimise customer impact and maintain service standards

Qualifications / Experience / Competencies

  • Bachelor’s Degree

  • Minimum of 5 years’ experience in the freight forwarding industry, preferably within a fast-paced operational environment

  • Strong decision-making ability

  • Systematic, well-organised, and process-driven approach to work

  • Strong problem-solving and troubleshooting skills
