What will you do as the Operations Project Assistant?

The Operations Project Assistant acts as a direct support partner to the operations leader by coordinating project timelines, progress tracking, meeting follow-up, and administrative execution across company-wide operational initiatives. This role is less about owning a single operational function and more about helping keep initiatives moving across stores and departments.

Key responsibilities

  • Maintain a master list of operations projects, deadlines, owners, milestones, and status updates across the company.
  • Track action items from meetings and ensure follow-up with the right people to keep projects moving.
  • Schedule meetings, prepare agendas, capture notes, and circulate summaries with deadlines and responsibilities.
  • Help prioritize active workstreams and provide visibility into project progress, blockers, and next steps for leadership.
  • Assist with light reporting, presentation prep, calendar coordination tied to projects, and administrative support tied to operations initiatives.
  • Support cross-functional coordination between operations, stores, vendors, and other departments involved in company projects.

What are we looking for in an Operations Project Assistant?

  • Excellent task tracking, follow-up discipline, and meeting coordination skills.
  • Strong written communication and note-taking ability.
  • High attention to detail and comfort working in fast-moving environments with many parallel projects.
  • Proficiency in Microsoft Outlook, Excel, Teams, PowerPoint, and project tracking tools.
  • Ability to work closely with an executive or department leader and translate direction into organized next steps.
