Job Description: We are seeking motivated and detail-oriented Administrative Support to join our team. The ideal candidate will provide essential administrative, clerical, and reception support to the office. We are seeking a detail-oriented and proactive Operations Administrative Assistant to support our expanding operations team. This role is ideal for someone who thrives in a fast-paced environment and enjoys working collaboratively across departments and dispatching. Additional responsibilities will include but are not limited to:

• Prepare delivery and pick-up paperwork for equipment sent to customer locations
• Review and quality-check field paperwork for accuracy and completeness
• Maintain and update the job calendar
• Submit and manage 811 One Call requests
• Assist with maintenance and repair tickets, including fleet-related tasks
• Support Accounts Receivable (A/R) and Accounts Payable (A/P) as needed
• Perform general office duties such as answering phones, filing, and administrative support
• Strong multitasking and organizational skills
• Excellent communication and teamwork abilities
• Prior experience handling large volumes of field paperwork / dispatching is a plus
• Familiarity with fleet operations and basic accounting tasks preferred
• Ability to adapt and assist across various departments as needed

Job Requirements:

• Authorized to Work in the U.S.
• Reliable Source of Transportation
• Excellent Computer Literacy: using tools such as billing software, iPads, KPA, SLACK etc.
• 2+ years of dispatch experience
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
• Strong organizational skills and attention to detail
• Excellent communication and interpersonal skills
• High school diploma or equivalent required
• Ability to manage multiple tasks and meet deadlines.

Physical Requirements: Ability to perform essential job duties including standing and walking up to 4 hours at a time. Perform all essential functions repeatedly such as lift and carry items weighing up to 30 lbs. Ability to climb, balance, and stand on stairs and ladders.

Job Type: Full-time

Pay: $16.00 - $18.00 per hour
