Order Management Specialist (Must have Beauty / Wholesale Retail industry exp)

About the Role

We are seeking a detail-oriented and highly organized Order Management Data Associate to join our wholesale retail operations team in the fast-paced beauty industry. This role is key in ensuring the accuracy and integrity of order data across internal systems and retail partner portals.

The ideal candidate has experience working with beauty retailers, understands EDI order management, vendor compliance, and fulfillment timelines, and thrives in a dynamic, collaborative environment.

Responsibilities

  • Download customer orders via SPS Commerce EDI and organize data into a master file.
  • Compare order quantities with warehouse inventory reports to verify fulfillment status.
  • Accurately enter order data into systems without duplication.
  • Manage customer order details by SKU, quantity, and value on a weekly and monthly basis.
  • Ensure timely processing of customer orders by collaborating with cross-functional teams.
  • Monitor REACH order status and update ASN and Invoice in SPS Commerce.
  • Apply vendor allowances and discounts accurately.
  • Troubleshoot ASN and invoice issues within SPS Commerce.
  • Submit shipment and billing information to customers.
  • Validate pricing, confirm orders, and request shipping window extensions when needed.
  • Issue credit or return orders as required.
  • Partner with finance and warehouse teams to investigate discrepancies.
  • Handle a high volume of purchase orders and vendor accounts efficiently.

Qualifications

  • Bachelor’s degree required (Supply Chain Management preferred, or related field).
  • 1–3 years of experience in order management, data entry, or sales support, ideally within a wholesale or retail beauty brand.
  • Familiarity with retailer portals and EDI transactions.
  • Strong proficiency in Microsoft Excel (able to maintain complex spreadsheets).
  • Experience with ERP systems, preferably SAP, is a plus.
  • Excellent communication skills (verbal and written).
  • Highly organized, proactive, and detail-oriented.
  • Ability to multi-task and work effectively in a fast-paced environment.
  • Strong problem-solving skills and a mindset for process improvement.
