Part-Time Accounting Specialist

JOB OVERVIEW
The Accounting Specialist supports the organization’s day-to-day financial operations by managing transactional accounting activities and maintaining accurate financial records. This role plays a key part in ensuring invoices, payments, and financial documentation are processed accurately and efficiently.

Working closely with the accounting team, the Accounting Specialist helps maintain strong financial operations by coordinating billing, payments, and recordkeeping while supporting reporting and reconciliation processes.

This position is ideal for someone who enjoys detail-oriented financial work and maintaining organized, efficient accounting processes.

RESPONSIBILITIES

Accounts Payable & Expense Management

  • Process vendor invoices and verify accuracy of billing info
  • Coordinate invoice approvals and ensure timely vendor payments
  • Maintain vendor records and respond to vendor inquiries
  • Monitor payment schedules and assist with payment runs

Accounts Receivable & Billing

  • Prepare and issue customer invoices
  • Record incoming payments and maintain accurate customer account records
  • Monitor outstanding receivables and assist with follow-up on past-due balances
  • Maintain documentation related to billing and customer payments

Record Maintenance

  • Maintain organized financial documentation and transaction records
  • Assist with reconciling payment activity and supporting documentation
  • Track and maintain expense documentation and supporting records
  • Ensure financial information is properly filed and accessible

Accounting Operations Support

  • Assist with maintaining accounting systems and financial tools
  • Support preparation of financial documentation for month-end close
  • Help gather financial data for reporting requests
  • Assist with improving financial workflows and internal accounting processes

Administrative & Process Coordination

  • Support communication with vendors, customers, and internal teams related to financial transactions
  • Maintain records needed for tax preparation and financial audits
  • Assist finance leadership with ad-hoc financial data requests

SKILLS & TRAITS

  • Detail-oriented and highly organized
  • Reliable with confidential information
  • Process focused and comfortable following established workflows and instructions
  • Strong communication skills, especially with vendors and customers
  • Proactive in identifying ways to improve efficiencies

QUALIFICATIONS

  • Up to 2 years of accounting support, bookkeeping, or financial operations experience
  • Associate or Bachelor’s degree in Accounting, Finance, or related field is preferred
  • Strong attention to detail and organizational skills
  • Experience with accounting or bookkeeping software (QuickBooks, NetSuite, Sage, or similar)
  • Proficiency with spreadsheets and financial data management
  • Ability to manage multiple priorities and deadlines
  • Experience supporting AP/AR functions
  • Exposure to accounting or financial reporting processes
  • Familiarity with payroll and expense management

Job Type: Part-time

Pay: $21.00 - $24.00 per hour
