Part-Time Executive Assistant / Operations Support

About Us:
Prestigious Care Homes is a residential assisted living provider dedicated to delivering compassionate, high-quality care to individuals with mental health and supportive care needs. We are seeking a highly organized, professional, and adaptable Executive Assistant to support leadership with administrative operations, communication, and community engagement.

Position Overview:
The Executive Assistant will work directly with the Owner/Program Director to manage administrative responsibilities, support daily business operations, assist with community outreach, and help coordinate both professional and occasional personal tasks. This dynamic and detail-oriented role is essential to ensuring smooth day-to-day functions within a fast-paced environment.

We are seeking a proactive and highly organized individual with strong communication skills and professionalism, who is comfortable handling diverse responsibilities with efficiency and discretion. The ideal candidate will be confident in representing the organization in meetings when appropriate, while also providing reliable administrative and operational support. Key Responsibilities:

Administrative & Operations Support:

  • Manage calendars, meetings, and scheduling for leadership
  • Organize documents, policies, and operational records
  • Track deadlines, tasks, and follow-ups
  • Attend meetings, take notes, and ensure action items are completed

Communication & Representation:

  • Professionally communicate on behalf of the organization when appropriate
  • Attend meetings and assist with presenting information when needed
  • Draft and respond to emails, letters, and other communications
  • Support creation of announcements, flyers, and outreach materials

Community Outreach:

  • Build and maintain relationships with hospitals, social workers, and community partners
  • Coordinate tours, meetings, and outreach efforts
  • Represent the organization at community events when needed

Resident & Facility Support:

  • Assist with coordinating resident appointments and logistics
  • Accompany residents to appointments or community activities when needed
  • Support general operations within the home as needed

Personal Assistant Support (Light):

  • Assist with scheduling personal appointments and calendar management
  • Help organize tasks, reminders, and occasional personal errands
  • Provide general support to improve efficiency in both business and personal responsibilities

Qualifications:

  • Previous experience as an Executive Assistant, Administrative Assistant, or similar role preferred
  • Strong professional communication and public speaking skills
  • Ability to represent leadership confidently in meetings and interactions
  • Highly organized with strong attention to detail
  • Ability to manage confidential information with discretion
  • Comfortable working in a healthcare or assisted living environment
  • Reliable transportation and valid driver’s license preferred
  • Proficient in Microsoft Office or Google Workspace

  • Healthcare administration
  • Public health
  • Human services or social services

Schedule:
Part-time (15–25 hours per week), flexible based on business needs
